Terms and Conditions of Entry

  1. Terms & Conditions

  2. The Boileroom Originate Ltd (“we”) are the promoters and organisers of the Always the Sun Festival (“the event”).
  3. The following terms and conditions are in place to ensure the safety and security of everyone at Always the Sun Festival and apply to both the Always the Sun Festival Friday & Saturday and the Always the Sun Festival Sunday events.
  4. By purchasing a ticket or accepting a guest ticket for the event from any outlet and entering the event as a ticket holder or guest you are agreeing to these Terms & Conditions.
  5. We reserve the right to vary these Terms and Conditions from time to time. Any updates will be published on the Always the Sun Festival website and at the entrances to the event.

  2. Always the Sun Festival is an all ages event.
  3. Proof of age in the form of recognised photographic ID may be required on entry in order to purchase alcohol and to confirm age if purchasing a child ticket or Under 11s Free ticket.

  2. Only tickets bought from authorised agents will be valid for entry – you can find a list of authorised agents on the Always the Sun Festival website.
  3. Tickets are non exchangeable, refundable or transferable. Re-sale or attempted re-sale is not allowed. Where there has been a breach of this condition (or breach of any other terms and conditions), we reserve the right to cancel the tickets and refuse entry to the event without refund or compensation.
  4. Tickets, wristbands or other forms of accreditation to the event remain the property of the event for security purposes, and may be recalled at any time.
  5. Tickets may not be used as part of a promotion, competition, advertising, or be given away as part of a product or service package or for commercial gain without the prior consent of the festival organisers.
  6. We are not liable for any tickets that have been lost or stolen.
  7. Your ticket may be invalidated if any part of it is removed, altered or defaced.
  8. Upon purchase, please check your tickets carefully as mistakes cannot always be rectified after purchase. Tickets are not issued on a sale or return basis and refunds will not be made on returned tickets unless provided for under these Terms and Conditions.
  9. Price and availability information is subject to change without notice.
  10. Those collecting tickets by box office collection should bring the card with which they have made their booking and their confirmation code, personal ID is also advisable. Where the person collecting is not the card holder a signed letter of authorization from the card holder is required along with the confirmation code of the booking and personal ID for those collecting. This signed letter of authorization should describe the individual who will be collecting the tickets and should contain the last 4 digits of the card used to make the booking.
  11. Where multiple tickets have been bought in one transaction and are being collected from the box office, all tickets under that transaction must be collected at the same time.

 

  1. Entrance Policy

Our entrance policy is in place to make sure Always the Sun Festival is a safe and crime-free event. We are a family friendly community event.

Entry to the event is subject to the Terms and Conditions that you agreed to when you purchased a ticket.

An arrest for drugs or weapons will have far-reaching consequences, potentially impacting your job and other parts of your life. Don’t bring drugs or weapons to this event

Look after yourself and each other – there are medical and welfare facilities near the main entrance if you need any assistance.

There are no left luggage facilities at Always the Sun Festival – please avoid bringing bags where possible, and leave your valuables at home.

  1. While there is re-admittance to the event – we respectfully ask that you have everything you need to enjoy your day to limit the need to leave the site.
  2. The organisers reserve the right of refusal of admission, and reserve the right to eject the ticket holder at its absolute discretion.
  3. All ticket holders and guests must consent to a security search of persons, clothing, bags and any other items deemed necessary, as a condition of entry. Prohibited items (including those outlined in these terms & conditions as well as on the Always the Sun Festival website) will be confiscated and disposed of. No facilities exist to store prohibited items at the event entrance.
  4. The organisers retain the right to conduct further searches during the event should they have a reasonable suspicion that any of these conditions have been breached.
  5. Various items are prohibited at Always the Sun Festival to keep the event safe and to allow us to comply with the licensing objectives. A full list of prohibited items is available at the Always the Sun Festival website – however we draw your attention to the following categories:
  6. Food and Drink – You may not bring any food or drink (including alcohol) to the event with the exception of sealed bottles of water up to 1 litre in size. There is a full range of licensed bars and food outlets inside the event, and free drinking water points throughout the site.
  7. Drugs / Controlled Substances – The law of the land applies to Always the Sun Festival as much as anywhere else – do not bring drugs to Stoke Park as they will almost certainly be found as you enter the event, you will be ejected and passed to the police

iii. ‘Legal’ Highs / Nitrous Oxide etc– these categories of so-called ‘legal’ highs are specifically prohibited at Always the Sun Festival, as we recognise that they have the potential to be just as harmful as other controlled substances.   1. Weapons – weapons, or anything that could be considered a weapon, is prohibited at the event.
  2. Animals – registered assistance dogs and well behaved dogs on leads are permitted at the event – please contact our access team to discuss your requirements before the event.
  3. Bicycles –No bikes, or other forms of transport, are permitted in the event site. Please only use designated bike parking facilities.

vii. Valuable items – Always the Sun Festival is a busy event and it’s easy to misplace items while you’re having fun. We do not take any responsibility for items lost at the event and recommend that you avoid bringing valuable items to the event where possible. If you do lose something, visit our welfare tent on the day, or contact us through the website after the event.

viii. Dangerous items – the following are considered dangerous and are not permitted. Glass in any form, cans or metal containers, spray cans, gas canisters or compressed gas in any container, fireworks, flares, smoke canisters, chinese lanterns, camping stoves or cooking apparatus, explosives, firearms, knives or blades, replica weapons of any sort, large golf umbrellas, stools / camping sticks / chairs or other furniture, gazebos or parasols, sports equipment, flags and banners, megaphones, amplification equipment, klaxons, airhorns, large bags, hi-visibility tabards or similar.

  1. Other prohibited items – please refer to our website or to signs at the event entrance for details of other items that are prohibited to keep the event safe and crime free.
  2. We reserve the right to prohibit any other item if in the reasonable opinion of the organisers it could constitute a risk to safety or security.
  3. If you are refused entry to the event, or have been previously ejected, you may not attempt to purchase another ticket or to otherwise gain entry.

 

  1. Safety and Security:
  2. Any behaviour which puts your safety, or that of other attendees or event staff at risk will lead to ejection from the event.
  3. Specifically, we will not permit climbing on event structures or existing park landscape.

iii. We will also not tolerate anti social or abusive behaviour to any one at the event.

  1. There is no refund in the case of an ejection from the event.
  2. Filming, & Photography

  3. By buying a ticket for Always the Sun Festival the customer consents to photography / filming / recording by Always the Sun Festival, our partners, or those authorised to so by us, and for any such recording to be used in any media, throughout the world, for all time.
  4. There is no unauthorised filming, photography or recording permitted at the event. Please do not bring professional equipment or anything that could be used for unauthorised commercial or marketing activity (such as goods for sale, flyers, banners etc) to the event as it will be refused entry.

 

  1. Trading & Commercial Activity

  2. Only those specifically authorised by Always the Sun Festival to undertake trading or commercial activity at the event may do so.
  3. It is prohibited to undertake marketing activity (such as flyering, postering or any other form of advertising in any media) at the event, or anywhere in Stoke Park.

  3. The billed music and attractions, line-up and set times or any other aspect of the event are subject to change at any time without notice.
  4. Cancellation by an artist will not entitle you to a refund, regardless of their position on the bill.
  5. Strobe lighting, lasers and smoke / haze effects and other special effects may be used in some performances.
  6. Please consider that exposure to loud music can damage hearing.
  7. Smoking is not permitted in enclosed spaces at the event.
  8. Always the Sun Festival is an outdoor event. Please bring suitable clothing and footwear. No refunds will be given due to inclement weather.
  9. Always the Sun Festival will not accept responsibility for any damage or loss of personal items at the event. Please report any losses at the Welfare tent on site.
  10. Official merchandise is only available inside the venue. We do not accept any responsibility for the sale of merchandise (official or otherwise) in or outside the venue.
  11. We will not have any liability to the ticket holder whatsoever for loss or expenses incurred in connection with the event or any cancellation of the event, including, without limitation, costs of any personal travel, accommodation or hospitality arrangements made relating to the event or the cancellation of the event.

  2. If we delay or fail to enforce any of these Terms and Conditions it shall not mean that we have waived our right to do so.
  3. To the fullest extent permissible in law, we shall be entitled to assign all and any of our rights and obligations under these Terms and Conditions, provided that the ticket holders’ rights are not adversely affected.

  5. If any provision of these Terms and Conditions is found to be invalid or unenforceable by a court, the invalid or unenforceable provision shall be severed or amended in such a manner as to render the rest of the provision(s) and remainder of these Terms and Conditions valid or enforceable.
  6. Any person, other than The Boileroom Originate Ltd, who is not a party to these Terms and Conditions shall have no rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of these Terms and Conditions.
  7. Nothing in these Terms and Conditions and no action taken by the ticket holder or The Boileroom Originate CIC under these Terms and Conditions shall create, or be deemed to create, a partnership, joint venture or establish a relationship of principal and agent or any other fiduciary relationship between the ticket holder and The Boileroom Originate Ltd.
  8. These Terms and Conditions constitute the entire agreement between the parties in connection with the subject matter of these Terms and Conditions and supersede any previous terms and conditions, agreement or arrangement between the ticket holder and The Boileroom Originate Ltd relating to the subject matter of these Terms and Conditions.
  9. Nothing in these Terms and Conditions shall purport to exclude liability for fraud or fraudulent misrepresentation.
  10. These Terms and Conditions shall be governed by the laws of England and Wales and the parties agree to submit to the exclusive jurisdiction of the Courts of England and Wales.

Forbidden Items & Festival Rules

Please be sensible when attending the festival and do not bring the following:

  • Glass
  • Alcohol purchased externally
  • Drones
  • Stereo systems
  • Illegal substances
  • Portable laser equipment and pens
  • Unauthorised professional film or video equipment
  • Audio recorders
  • Air Horns
  • Fireworks, flares or Chinese Lanterns
  • Any item which may reasonably be considered for use as a weapon
  • Gas canisters
  • Nitrous Oxcide
  • Any form of aerosol over 250ml

As you enter the festival our friendly security team will be searching bags, so please do not bring in alcohol, drugs or any of the above items. We want everyone to have a good time, so please obey the rules.

Camping & Accomodation

There is no camping or accommodation on site at Always The Sun. For more information on organising an overnight stay, please visit Visit Surrey HERE.

Welfare

Whilst September is usually a super lovely warm and sunny month, the reality is that in the UK the weather can turn, so please bring clothes for all weather. Sensible shoes, waterproof jacked, sun hats and sun cream! Everything you need to enjoy the UK summer time! – well not EVERYTHING, we’ll provide the music, entertainment and wonderful food and drink.

Please make sure you look after yourself, drink lots of water. Free safe drinking water is available from points around the arena.

Please protect your ears! Wear ear protection if you are near any of the live music stages speakers.

Festivals are all about meeting new people, but if you meet someone new it’s best to invite them to join your friends first, rather than seeing them alone. Look out for your fellow festival goers and inform a steward or a member of security if you notice that someone is unwell or may require assistance.

The medical tent is on-site and available for anyone who requires medical attention during the festival. The medics at Always the Sun are experienced, qualified and fully equipped to deal with situations.

Also please be aware that there are no cash machines onsite. The bar will be able to take card payments as will the box office for tickets at the main entrance.

To purchase alcohol you must be 18 or over. We only accept valid passports and UK drivers or Provisional Licence as forms of ID.

All persons under the age of 18yrs old must be under the supervision of their parent or guardian at all times whilst onsite.

 

Date & Location

Always the Sun takes place on Friday 8th, Saturday 9th and Sunday 10th September 2017 on the beautiful Stoke Park, in the middle of Guildford.

We are a five-minute walk from the Guildford London Road station and a 20-minute walk from the main Guildford station.

On Friday 8th September the festival opens at 6pm, and closes at 11pm.

On Saturday 9th and Sunday 10th September the festival opens at 10.30am, and closes at 11pm each day.

Food & Drink

The festival will operate as a licensed premises; there will be a large variety of locally sourced beers, ales, ciders, spirits and wines for our customers over 18yrs of age to enjoy.

Please keep in mind that this means that festival attendees will not be able to bring their own alcohol into the site. There will also be a variety of soft drink options and hot drinks available.

There will be a large amount of delicious food stalls around the site, bringing with them a mouth-watering variety of yummy foods, again in keeping with our aim to source most of our produce from the local area.

Getting Here and Parking

Always The Sun festival is situated in Stoke Park in the heart of Guildford, full address for the festival car parking entrance is:

CUSTOMER PARKING

There will be customer car parking available directly on Stoke Park; adjacent to the main entrance to the festival site at a charge of £5 per vehicle per day, or £10 per vehicle for the weekend. There will be stewards on-hand to direct customers on where to park.

Advanced car park tickets will go offsale on Thursday 7th September 2017 at 10am. The pricing will remain the same on the gate.

Access to this car park will be from London Road (A3100), in between Guildford High School and The Challengers turnings. This entrance will be signposted from the road, and stewards will also be stationed at the entrance way.

The car park will be open one hour before doors each day, and will close one hour after site closing time.

BLUE BADGE PARKING

There will also be blue badge parking available, approximately 10-15meters from the main entrance to the festival site, directly on Stoke Park. There will be stewards on-hand to direct blue badge holders.

BUSES

The 100/101 Guildford Park & Ride service from the Friary Bus station leaves approximately every 12 minutes and arrives at the Spectrum Leisure Centre. Children Under 16yrs and disabled persons can travel for free using this service. Senior Citizens bus pass can travel for £1 day return on this service. Find out more about this service here.

We ask all our customers when entering and leaving the festival to respect local residents by keeping noise to a minimum.

Stoke Park is approximately 24mins walk away from Guildford main train station. From the station walk South towards Walnut Tree Close. Cross over the road and follow the road round onto the right onto Bridge Street/A322 and keep left.

Follow the road round to the left; cross over the road at the traffic lights towards St Saviour’s Church, and head right onto York Rd (Waitrose will be on your right hand side).

Cross the road at the junction onto Stoke Rd. After 141 ft turn right onto Kings Road (The Kings Head Pub is on the corner) and follow the road round until you get to Nightingale Rd. Walk up until you get to the entrance of Stoke Park – you’re now at the festival!

Accessibility

We want everyone to enjoy Always the Sun, so we have put a lot of effort into ensuring that we can achieve a high level of access for those with additional needs.

We operate a buddy system regarding ticketing, in which personal assistants and or carers receive a complimentary ticket to the festival. Please email [email protected] with proof of DLA; or call the office phone on 01483 440022 (Mon-Fri, 9am-5pm) to find out more information on how to book these.

 

SITE DESCRIPTION

The festival site is on Guildford’s Stoke Park. The main entrance is flat, and there is a gentle slop down towards the Park stage. All stages and tents are accessible by wheelchair access with no steps.

There will be accessible toilets available onsite. The main block of toilets have three steps up to the cubicles; with railings on either end.

In wet weather conditions, we will have trackway down on the ground to make an easy pathway through the site for wheelchair users and those with mobility issues.

There are seating areas with wooden benches around the site; low bench seating within the All The World’s A Stage area.

As the site is quite small, there are no viewing platforms for the music stages.

ARRIVAL GUIDE
Upon arrival to the festival you will be greeted by a member of staff who answer any questions you may have or accommodate any requests you have.

The box office is situated to the left hand side of the main entrance to the site, and manned by staff who will be able to organise with your access accreditation and tickets.

There will be seating next to the box office, if you are not able to stand for periods of time queuing.

TOILETS
There will be accessible toilets onsite, as part of the main block of toilets to the right hand side of the main entrance into the festival.

CUSTOMERS WITH MEDICAL REQUIREMENTS
Customers that need to bring food, drink and/or medication, please state to the staff at the box office or security staff and they will assist you if necessary. Contact our [email protected] for any concerns you may have.

In an emergency, please feel free to approach any member of staff who will assist you as necessary.

The medical tent is situated to the front left hand side of the main entrance to the festival site.

ACCESS TO PERFORMANCE
We currently do not offer an auditory enhancement or assistance such as British Sign Language at this present time.

ASSISTANCE DOGS
We welcome assistance dogs onto the festival site.

STROBE LIGHTING
Some performances may use strobe lighting or hazer (smoke machine). If this is an issue, let us know in advance and we will do our best to accommodate you, or let a member of staff know on arrival.
